QR Codes Done Right: Placement, Size and Materials That Actually Get Scanned
The scan rate of a QR code is a design outcome. Size math, contrast rules, placement patterns and the mistakes that make guests give up.
A QR code is a piece of signage with one job: get scanned on the first try by a guest holding a phone one table-width away. Most codes that fail, fail physically — too small, too low-contrast, laminated into glare — before software ever matters.
The size rule
The working heuristic is a 1:10 ratio between code width and scanning distance. A guest scans from roughly 25–40 cm away, so the code itself should be at least 3–4 cm wide — larger if it sits behind glass or in dim light. Window codes meant to be scanned from the pavement need 10 cm and up. When in doubt, print bigger; nobody has ever failed to scan a code for being too large.
Contrast and quiet zone
Scanners want dark modules on a light background and a clean margin (the "quiet zone") of at least four module-widths around the code. Inverted codes (white on dark) fail on some devices; codes over textured wood-grain or photographs fail more. A brand-colored code is fine if the contrast stays strong; a beige-on-cream code is decoration, not signage. Add a small logo center if you like — error correction absorbs it — but test after every design flourish.
Placement: one per seat-reach
The pattern that works is boring: a stable table tent or adhesive disc reachable from every seat, upright enough to avoid glare from overhead lights. Codes only on the wall by the entrance force guests to stand up; codes on slippery laminated cards migrate between tables and end up on the floor. For bars: one code per meter of counter. And always print a short URL under the code — a visible fallback for the guest whose camera misbehaves.
The link behind the code
Two rules. First, the code should point to a stable URL that never changes — the menu behind it can change daily, the printed code must not.
